Top Job Recruitment are looking for a Trainee Office Manager for a Manufacturing company based in Colchester, Essex.

As a Trainee Office Manager you will start as an office administrator however this is very much a coordination role, so you need to be excellent at organisation and liaising with all different types of people to work out dates/ times/ locations etc. you will want to go the extra mile for the role. We are looking for a candidate who will start as a support administrator to the office however there is the opportunity for the correct candidate to really grow with the company in time after 1-2 years as you need to learn the basics of the products first and how everything works. Salary would then further increase if you have proved you are capable of a more senior position when the right time comes. This is a great opportunity for someone who is ready for that next management step but would like to ease into it.

Trainee Office Manager Job Role

Organising and coordinating entire order process from the point at which an order is sent

to a supplier, through the manufacture of kitchen and to the point of delivery and after care service.

This will be done by:

  • Printing & logging order confirmations
  • Checking supplier confirmations for products against our orders
  • Coordinating deliveries from suppliers and to customers on a daily basis
  • Checking orders to ensure no mistakes before products arrive
  • Organising reject notes for products that are damaged or incorrect
  • Organising returns process – reject notes, arrangement with supplier for goods to be
  • returned and ensure credits received.
  • Updating schedule of delivery
  • Liaising with office and factory team
  • Basic knowledge of South-East map

Encoding and ordering kitchens from plans and specifications received from regular kitchen retailers/developers. Creating plans using Articad software from specific details given by regular developers.

This will be done by:

  • Learning how to read and understand plans
  • Learning kitchen products and ranges
  • Using Quoting and Articad software
  • Liaising with customers to discuss requirements
  •  

General duties include:

  • Tea/coffee making
  • General housekeeping
  • Filing, answering phones, scanning, printing
  • Preparing and taking items to post office and courier
  • Weekly invoicing
  • Daily schedule print out and distribute to factory
  • Jobs that may arise over time to meet the needs of the business

Trainee Office Manager Skills Required

  • Office experience is desirable
  • Management experience is desirable

Trainee Office Manager Perks other details

  • Full time, 40 hour a week, 9am-5.30pm inc. 30 min unpaid break, Monday to Friday.  No overtime, evenings or weekends.
  • 6 months’ probation
  • 28 days holiday inc. 8 bank holidays, running Jan to Dec. We ask the team to reserve 5 of their days for Christmas where we have a 1 ½ week shutdown
  • Government pension included
  • Please note, we are a paper-based environment with a manufacturing team, therefore it’s essential the candidate is working from the office full time and we would be unable to discuss flexible working or working from home at any stage during their employment

The applicant for this job will be able to retain information easily, have excellent organisational skills, neat handwriting, a good telephone manner and the ability to work well in a team. They will have good communication skills with a range of different people that will include staff, suppliers, customers and the general public. They will be aware of the way they conduct themselves at all times, be courteous and willing to help in areas that may not directly be their job. The person will have a calm and positive mentality, be trustworthy and willing to push themselves to learn a new industry, job, company and achieve the best for themselves and the people they are working with.
