Job Title: Personal Assistant

Job Summary:
We are looking for a highly organised and proactive Personal Assistant with at least two years of experience to support the operational function of our business. This role requires a detail-oriented professional who thrives in a fast-paced environment and is skilled in administration, communication, and multitasking. The ideal candidate will be a problem-solver with exceptional organisational abilities and a strong work ethic, dedicated to ensuring the smooth and efficient running of daily operations.

As a key member of our team, you will support the Director and management team while contributing to our ongoing commitment to operational excellence and superior customer service.


Key Responsibilities:

  • Administrative Support: Provide high-level administrative assistance to the Director and management team, including managing calendars, scheduling appointments, handling calls, drafting correspondence, and responding to inquiries.
  • Documentation & Filing: Create and maintain organised filing systems, prepare reports and presentations, and manage paperwork related to employee onboarding, offboarding, and changes in personnel.
  • Liaison & Coordination: Serve as a key point of contact for clients, suppliers, and internal teams, facilitating communication and collaboration across departments. Work closely with the training team to ensure staff members complete required training and stay up-to-date with available courses.
  • Resource Allocation & Scheduling: Manage the coordination of internal meetings and client interactions, ensuring efficient resource allocation (e.g., scheduling staff rotas, managing breaks and leave requests).
  • Office Management: Oversee day-to-day office operations, including ordering supplies, maintaining office equipment, and ensuring the workspace remains clean and well-organised.
  • Data Entry & Reporting: Assist in compiling and managing Management Information (MI), track and report on agent commissions, overtime, and absenteeism, and prepare payroll data as required.
  • Travel & Expense Management: Coordinate travel and accommodation for staff, and manage the Director’s and Operations Manager’s expenses, ensuring all documentation is processed accurately and in a timely manner.
  • Meeting & Event Coordination: Assist with the planning and coordination of internal and external meetings, events, and conferences. Responsibilities include preparing agendas, taking minutes, and managing logistics.
  • Communication: Ensure seamless communication across all channels (email, phone, digital platforms) and provide effective support to all departments.
  • Research: Conduct research on behalf of the Director to support ongoing projects and strategic initiatives.
  • Miscellaneous: Take on additional ad-hoc tasks as required to support the smooth running of Nexus operations.

Qualifications & Skills:

  • Experience: At least 2 years of experience in a similar administrative or secretarial role, ideally within a fast-paced business environment.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management tools.
  • Communication Skills: Exceptional written and verbal communication skills with the ability to engage effectively at all levels of the organisation.
  • Organisational Skills: Strong time management and multitasking abilities, with an excellent eye for detail and the ability to manage competing priorities.
  • Interpersonal Skills: Collaborative team player with the ability to maintain confidentiality and build positive relationships across departments.
  • Problem-Solving: Proactive in addressing challenges, able to think on your feet, stay flexible, and manage multiple priorities effectively.
  • Adaptability: Comfortable working under pressure, adapting to changing priorities, and maintaining a calm and professional attitude.

Package:
Salary: £26,000-£28,000 per annum
Working Hours: Monday to Friday 9am-6pm
